Position title: Project Assistant (Maternity Replacement)  

Position term and type: Full-time: until 31 December 2023 with 3 months probation period

Having started its operations in Mongolia in 1994, SC currently employs 60 staff members and works in seven provinces of Mongolia, implementing projects in Child Protection & Child Rights Governance, Child Poverty, Humanitarian, Education, and Health sectors.

About the Role

Under the supervision of the Project Manager, the Project Assistant takes responsibility for the project documents and assisting the project team with the effective planning and implementation of the project activities in accordance with Save the Children’s policies and standards and the donor’s compliance.

Responsibilities:

– Review payment requests and financial documents of all project activities

– Be responsible for contract numbering and registration and ensure all the contracts are numbered and archived in respective folders,

– Assist with the organization of in-person training, field trips, seminars, Project Steering Committee meeting, other project-related meetings and workshops at target aimags,

– Assist with online training and meetings; act as an admin of the project Zoom account, manage the Zoom meeting scheduling,

– Provide support in project-level data collection and consolidation,

– Assist in conducting studies, follow-up surveys, assessments, and evaluations required by project,

– Provide support in undertaking MEAL-related activities and tasks under the project such as in the implementation of GRM,

– Collaborate with Administration and Communication team, support to these teams & responsible for project activity

– Conduct English and Mongolian written and oral translation when necessary,

– Prepare and track the mobile unit payment for the project team and consultants

– Be responsible for maintaining all types of project archive

– Organize the Global Youth Entrepreneurship Challenge (GYEC) through February to June annually,

– Other tasks assigned by the project team.

Profile:

– Undergraduate degree in business, finance or a related field

– At least two years of work experience as financial assistant, project assistant or in similar positions

– Previous experience in organizing workshops, training, and events will be a plus

– Proficiency in computer and online programs (Microsoft Outlook, Zoom, Word, Excel, and PowerPoint),

– Good spoken and written English,

– Excellent spoken and written Mongolian,

– Knowledge of project implementation and project financial process

– Good team player, and is comfortable working with people of diverse backgrounds,

– Excellent understanding of Child Rights
