Save the Children is a leading international, rights-based organization for children, operating in 115 countries around the world. Having started its programs in Mongolia in 1994, SC currently employs 50 staff and works in six provinces of Mongolia, implementing projects in Child Protection, Child Poverty, Education, and Health sectors. We are immediately hiring a highly skilled Secretary/Receptionist. It is an exciting opportunity to work for the well-being of children. Job responsibilities

The Secretary/Receptionist will assist in the daily office operations of the SC Mongolia. Under the overall guidance of the Country Manager (CM) and the Administration Manager, s/he will perform the following key responsibilities:

  • Answer phone calls, take messages, or refer calls to an appropriate staff member
  • Manage incoming e-mails, providing information in response to requests, as directed by CM
  • Maintain calendar and plan management team meetings
  • Participate in meetings, take notes, and prepare minutes or summaries of the meeting
  • Work closely with staff and other stakeholders to assure the CM’s preparation for meetings, presentations, or other engagements
  • Prepare and edit documents in Mongolian and English languages
  • Conduct various research to assist with projects or inquiries
  • Coordinate and schedule travel, meetings, and appointments
  • Manage office entry access for employees and submit timesheet reports to the CM periodically.
  • Control and manage paper flow into CM office including reading incoming letters and drafting responses to correspondence
  • Perform other duties as directed by the management

Desired Experience and Qualifications:

  • Undergraduate degree in social science, foreign relations or business administration
  • Excellent verbal and written communications skills in Mongolian and English
  • At least three years of experience in the similar position
  • High-level English skills, preferably verified by an English language test (IELTS or TOEFL)
  • Effective telephone communication and customer service skills
  • Well-developed organization and time management abilities
  • Excellent report writing skills compliant with international donors and UN agencies
  • Proficiency in office software programs (Word, Excel and PowerPoint)
  • Ability to work on own initiative as well as a team member and skilled to deal with people with diplomacy
