Save the Children (SC) is a leading global organization working for children. Having started its operations in Mongolia in 1994, SC current employs approximately fifty staff members and works in Ulaanbaatar and eight provinces, implementing programs in Child Protection, Child Rights Governance, Child Poverty, Education and Health sectors.

JOB TASKS AND RESPONSIBILITIES 

The Secretary/Receptionist will assist in the daily office operations of the SC Mongolia. Under the overall guidance of the Country Manager (CM) and the Manager for Administration and Human Resources, the Secretary/Receptionist will perform the following key responsibilities:

  • Provide high-level administrative support to CM and collect requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepare summaries of findings
  • Conduct various research to assist with projects or inquiries
  • Coordinate and schedule travel, meetings, and appointments
  • Prepare agendas and schedules for meetings, conferences, and other assigned events; take and distributes minute or other notes as requested
  • Prepare and edit documents in Mongolian and English languages
  • Respond to and resolves administrative inquiries and questions
  • Welcome and direct visitors and clients
  • Answer phone calls, take messages, or refer calls to an appropriate staff member
  • Translate documents from Mongolian to English and vice versa, when required
  • Perform other duties as directed by the management

REQUIREMENTS

  • Undergraduate degree in social science, foreign relations or business administration
  • Excellent verbal and written communications skills in Mongolian and English
  • Detail-oriented and professional with exceptional communication skills
  • Proficient with Microsoft Office software with understanding of office equipment
  • English proficiency, preferably verified by an English language test (IELTS or TOEFL)
  • Effective telephone communications and customer service skills
  • Ability to work independently and reliably; flexible and adaptable in various situations and when interacting with many different personalities
  • At least three years of working experience in a similar position
  • Ability to organize and prioritize tasks including delegation of tasks when appropriate.
